On a daily basis Municipal Clerks plan and direct the maintenance, filing, safekeeping, and computerization of all municipal documents. They perform general office duties, such as taking or transcribing dictation, typing or proofreading correspondence, distributing or filing official forms, or scheduling appointments. The City Clerk is responsible for the effective organization of the City Council and municipal elections. The requirements for the clerk are set out in Title 29.
Attend meetings of the governing body and it’s boards and committee as required and keep the journal
Have custody of the official municipal seal
Assure that notice and other requirements for public meetings are complied with and assure that public records are available for public inspection as required by law
Manage municipal records and develop retention schedules and procedures for inventory, storage, and destruction for records as necessary
Maintain an indexed file of all permanent municipal records, provide for codification of ordinances, and authenticate or certify records as necessary
Prepare agendas and agenda packets as required by the governing body
Administer all municipal elections
Assure that the municipality complies with 42 U.S.C. 1971-1974 (Voting Rights Act of 1965, as amended)
Take oaths, affirmations, and acknowledgments as necessary
Act as the parliamentary advisor to the governing body
Perform other duties required by law, the governing body, or the chief administrator
Deputy Clerk - Ginger McCormick
The Deputy Clerk assists the City Clerk with Title 29 requirements. Additionally, the Deputy Clerk is the first point of contact for the public. The Deputy Clerk can take payments, arrange for rentals of the Community Center, schedule appointments and meetings as necessary, and assist in managing the city web site and social media.
